This Privacy Policy explains how Ringback ("we", "us", "our"), operated by Nixflex Enterprises LLC, collects, uses, stores, and shares your information when you use the Ringback mobile app and related services (the "Service"). Ringback is an AI receptionist that answers calls to your business number, captures caller details, and helps you follow up.
We collect the following to provide the Service:
We do not use your data, your callers' data, or any Google data to train, fine-tune, or improve artificial intelligence or machine learning models.
If you choose to connect your Google account, Ringback uses Google Calendar so your AI receptionist can manage bookings on your behalf. This connection is optional and only enabled when you explicitly authorise it through Google's secure OAuth consent screen.
Acting on your behalf and on your instructions, Ringback reads your calendar to check availability and creates, edits, and deletes events so your AI can book, reschedule, and cancel appointments from calls. These are the only actions we take with your Google Calendar, and booking is the only purpose Google Calendar data is used for — we do not use it for any secondary purpose.
We request only the Google Calendar permission needed to provide booking, and only at the point you choose to connect your Google account. The exact permissions are always shown to you on Google's consent screen before you grant access.
Limited Use disclosure. Ringback's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, information received from Google APIs is not:
Google Calendar data is used only to provide the booking features described above and is retained only as long as needed to provide them.
You can disconnect Google Calendar at any time in the app, or revoke access directly at myaccount.google.com/permissions. On disconnect, we stop accessing your Google data and delete cached Google data from our systems.
Ringback records and transcribes calls to your AI receptionist so we can give you summaries and transcripts. As the business owner, you are the controller of your callers' data and are responsible for informing your callers that calls may be recorded, and for complying with all call-recording and consent laws that apply to you. Ringback acts as a processor handling this data on your behalf.
We share data only with service providers who help us run Ringback, under contracts that protect your data:
We do not sell your personal information.
We keep your data for as long as your account is active. When you delete your account, we release your phone number and delete your data from our systems, except where we must keep limited records to comply with legal or accounting obligations.
Depending on your location (including under UK and EU GDPR), you have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. You can delete your account and data at any time from within the app, or contact us to exercise these rights. You may also lodge a complaint with your local data protection authority.
We protect your data in transit and at rest using industry-standard measures. No system is perfectly secure, but we take reasonable steps to safeguard your information.
Ringback is a business tool intended for adults. It is not directed at children, and we do not knowingly collect data from anyone under 18.
We may update this Privacy Policy. Material changes will be reflected by updating the date above, and where appropriate we will notify you in the app or by email.
